Information we collect

When you apply, order, or contact us, we collect information reasonably needed for that activity. This may include your name, business name, business website, business description, email, telephone number, billing and shipping addresses, approved country, account details, orders, invoices, and support correspondence. Where needed, we may ask for appropriate business or tax documentation. Please do not send payment-card details, passwords, or unnecessary personal identification by email or through a damage claim.

Website and payment information

The website and its service providers may collect IP addresses, browser or device information, log records, session identifiers, and cookie choices to operate and protect the service. Optional analytics or advertising features may collect additional usage information when enabled and permitted. No payment is collected when you submit an order at checkout. After order review, we send a final invoice. Payment information is processed through the provider selected when paying that invoice, including Stripe where offered. We receive payment status and transaction references and may receive limited payment-method details; do not assume that we receive or store your full card number.

Why we use information

We use relevant information to assess wholesale applications manually, maintain approved accounts and country price lists, process and fulfil orders, arrange shipping and customs documentation, provide customer support, investigate damage or fraud, keep required business records, and meet legal obligations. Application details are not intended to be a public business directory. We will explain another purpose and obtain consent where required before using information for an unrelated purpose.

Service providers and connected systems

Authorized personnel and service providers receive information as needed for their tasks. This can include website hosting and security, payment processing, email delivery, shipping carriers and brokers, accounting, and connected order and inventory systems operated for Xentas Inc. Information is not made public merely because products are synchronized between our websites. We may disclose information when required or permitted by law, to protect lawful rights, or in a business transaction with appropriate protections. We do not sell your personal information as a customer mailing list.

Processing outside Canada

Some service providers may process or store information outside your province or outside Canada, including in the United States. Information held in another country may be accessible to courts, law enforcement, or other authorities under that country’s laws. We remain responsible for taking appropriate steps to protect information handled on our behalf and to limit processing to the relevant purposes.

Choices cookies and marketing

We seek consent where required and provide information about the purpose of collection. Required application and order information is needed to assess your application or fulfil the transaction. Optional marketing permission is separate from application approval or acceptance of purchasing terms. We send promotional messages only where we have a lawful basis and provide the required identification and an unsubscribe method. Necessary account, order, safety, or legal messages may still be sent as permitted by law after a marketing unsubscribe. See our Cookies and Communication Choices policy for information about categories and controls.

Retention and security

We retain information for as long as reasonably needed for the purpose, legal and accounting requirements, security, or resolution of a dispute, and then delete or anonymize it as appropriate. We use reasonable administrative, technical, and physical safeguards suited to the information. No website or transmission method can guarantee absolute security. Access to administrative systems is limited according to operational need.

Access correction and concerns

Contact our Privacy Contact to request access to, or correction of, your personal information, ask about its use or disclosure, withdraw consent where applicable, or raise a concern. We may need proportionate verification before responding. Deletion and withdrawal requests are subject to legal retention requirements and other lawful exceptions; account closure does not automatically erase all transaction records. We will explain relevant limits. You may also contact the privacy regulator with jurisdiction over your concern, including the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada, as applicable.

This service is intended for adult business representatives and is not directed to children. If you believe information about a child was submitted, please contact us. We will update this notice when our practices change and identify the effective date and version. Material new uses will be addressed with notice and consent where required.
